Our police zone highly values the protection of your privacy and processes personal data received or collected with great care.

This policy describes the way in which this website processes personal data, and this in compliance with the transparency obligation provided for in data protection legislation.

The applicable legislation in this regard is the following:

  • the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (GDPR);
  • the Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data (Data Protection Act).

2. Who we are.

This website is a site of the Brussels Capital Ixelles police zone.

3. What is a personal data?

A personal data is any information that allows a natural person to be directly or indirectly identified, such as a name, address, identification number, IP address, number plate, etc.

4. What personal data are processed by us?

The following data are processed by this website if they are necessary for the intended purpose.

  • personal identification data (e.g.: surname, first name, address, telephone number, etc.);
  • electronic identification data (e.g.: IP address, cookies, etc.);
  • personal details (e.g.: date of birth, place of birth, nationality, etc.);
  • data about the interaction you have with us via our website, applications, emails, etc.

5. What do we do with your personal data?

Two types of processing of personal data may be carried out through this website:

5.1 Use of cookies for consulting the website and/or providing information;

The main objective of this website is to provide information to citizens. Therefore, the use of functional cookies (following consent) is necessary to ensure the proper functioning, security and overall analysis of the website from legitimate interests (cf. cookies policy for more info on types of cookies and retention periods).

5.2 Collection of contact details via various forms;

When you contact the police services via the website, you have to fill in a series of personal data such as your name, address, telephone number, e-mail address, etc.

The police services use your personal data to achieve the purpose for which you sent your data. In concrete terms, this means that if you communicate your name and address, for example, in the context of a request for information, these data will not be used for other purposes or to send other information, such as a newsletter.

6. Retention of your personal data

In the absence of legal provisions stipulating a specific retention period, such as the provisions laid down in the Police Act, the police services will retain your personal data for no longer than is necessary for the purposes for which the data were collected.

By way of example, the ministerial circular PLP 40 on local police archives sets a number of retention periods.

7. Who has access to the personal data collected through the website?

The website operator processes the personal data collected after using the website.

As a rule, personal data are not passed on to other organisations, except to comply with legal obligations or if explicitly requested by the judicial authorities.

In accordance with some legal obligations, the data may be transmitted to authorities, supervisory bodies and other third parties, for example in case of suspicion and/or attempted detection of criminal offences, if the user violates the terms of use of the website or to safeguard the personal data processing policy.

For technical reasons, certain data can also be accessed by some external partners:

  • Our WordPress website and associated database is hosted at Combell S.A.
    The data you enter on our web forms are not stored on this database. They are only sent as mail to the mailbox of the relevant police department.
  • The application to make an appointment with a district inspector of our police zone is a product of Qmatic Belgium bvba. This application is hosted on our police zone’s own server. Qmatic does have access to the application on our server for technical and support reasons. The application requires only the bare minimum of personal data to ensure proper operation.
  • First name > identification
  • Surname > identification
  • Email address > so that we can confirm the appointment
  • Telephone number > as secondary contact data for practical reasons
  • The application we use to format our newsletters is a product of Flexmail. When subscribing to our newsletter, personal data will be stored on a server of Flexmail. The application requires only the bare minimum of personal data to ensure proper functioning.
  • Email address > to which the newsletter should be sent
  • Language role > so that you receive the newsletter in the desired language.

  • To collect statistics, we use Google Analytics. This allows us to collect technical information about the user’s browser, operating system, screen resolution and to analyse traffic on this website. Google Analytics is set up so that the IP address is not processed or shared.

8. Links to third-party websites

When you click a link to an external website (Youtube, Google maps, etc.), you will be directed to a website where the local police is not responsible for the processing of personal data.

9. What rights do you have and how can you exercise them?

9.1 Rights of data subjects

Data subjects (i.e. persons whose personal data are processed through the website) have several rights:

  1. right to information: in the context of the transparency obligation, police services are obliged to provide the data subject with information on the processing of their personal data. This webpage aims to meet this requirement.
  2. right of access: the data subject has the right to consult the personal data relating to him that he communicated to the police services via the website.
  3. right to rectification: the data subject may request that incorrect or incomplete data be updated or rectified.
  4. right to erasure: the data subject has the right to obtain the immediate erasure of personal data relating to him. However, this right is not absolute.
  5. right to withdraw consent: where the processing of personal data is based on consent, the data subject may withdraw consent at any time. However, this right may be limited.

These rights vary according to the type of processing carried out through the website:

  • if the processing consists of the use of cookies or the collection of contact details via a form, the data subject may have all the aforementioned rights (points 1 to 5);
  • if the processing consists of the collection of data for a police process (order of administrative and/or judicial police), the data subject only has the rights mentioned in points 1 to 3.

9.2 Exercise of the rights of data subjects

The request to exercise these rights also varies according to the type of processing carried out through the website:

  • if the processing consists of the use of cookies or the collection of contact details via a form, the request should be addressed to the police authorities at zpz.polbru.dpo@police.belgium.eu;
  • if the processing consists of the collection of data for a police process (order of administrative and/or judicial police), the request should be addressed to the Control Body on Police Information (C.O.C.).

Website users may also contact the C.O.C. if they are not satisfied with the response from the police services.

10. Legal remedies

Without prejudice to other possibilities of administrative appeal or judicial remedy, you may lodge a complaint with the Police Information Supervisory Body and lodge a judicial appeal if you consider that your rights are not being respected or that any processing of your personal data constitutes an infringement of data protection legislation.

11. Data security

The police services take all necessary steps to ensure the security of your personal data. Among other things, they ensure that your data is protected against unauthorised access, unlawful use, loss or unauthorised modification. To ensure the security and confidentiality of your personal data, the police forces have taken technical and organisational measures.

12. Controller and DPO (Data Protection Officer)

12.1 Processing Controller

For processing operations carried out by the Local Police, the processing controller is the local police zone, represented by the Chief of Police of the police zone.

12.2 DPO (Data Protection Officer).

Comments and complaints concerning your personal data on the website of the Local Police Zone can be sent to the DPO of the Local Police Zone.
